Submit your order through our online form. You’ll provide the recipient’s name and address, identify the documents to be mailed, and select your service level. The full-service option ($50) includes affidavit drafting and filing. The reduced rate ($40) delivers the return receipt to you and leaves affidavit filing with your office. No case number or court coordination is required at intake — just the recipient information and documents.

Strategy & Assignment

Once your order is received, we prepare the mailing the same day. Documents go out via USPS Certified Mail with Return Receipt, sent under a neutral sender name rather than your firm’s address. This matters: mailings that appear to come from a law firm are more likely to be refused or returned unclaimed. All tracking is managed by our office from drop-off through delivery.

Execution

We handle printing, assembly, postage, and post office drop-off — your staff doesn’t touch it. Every piece of certified mail is tracked from the time it leaves our hands. If USPS loses a return receipt card, we manage the follow-up. You will not need to contact the post office, pull tracking numbers, or chase down undelivered green cards.

Completion & Proof

Once the return receipt is processed, you receive a digital copy the following business day. For full-service orders, we draft the Affidavit of Service and file it on your behalf within Maryland, DC, or Virginia. For reduced-rate orders, the return receipt is sent to your office and you file the affidavit. All documentation is emailed promptly.

The digital return receipt is available the following business day once USPS processes it. If USPS fails to return a receipt card, we manage the follow-up with the post office directly — you will not need to handle that. If delivery is refused or unclaimed and you need to pursue alternative service methods, Freestate can assist with next steps including motion for alternative service.

We manage it. If the green card does not come back within the expected window, our office contacts USPS to obtain a copy of the signed receipt. You will not need to visit the post office or track it down yourself.

Our certified mailing service is limited to recipients within Maryland, Washington DC, and Virginia. If your recipient is outside that area, contact us to discuss options.

If certified mail is refused or not collected, delivery has not been legally completed. At that point you may need to pursue personal service or alternative service. Freestate can assist with both — including motion for alternative service preparation if required.

We do not send individual notifications after each attempt. All attempts are documented and included in the final Affidavit of Service or Affidavit of Non-Service. All activity is logged in our case management system throughout.
